Updated Office Operations

Office Processes

  • Extra adults and siblings are discouraged from attending visits
  • “Pre-work” items such as forms and surveys are deferred at this time and will be
  • completed by families and mailed accordingly
  • Payments will be handled virtually when possible (payment through patient portal, even taking credit card number over the phone or in person)
  • Dr. Cohen will review existing schedules to determine which visits can be done remotely and which visits will need to be rescheduled
  • Dr. Cohen will review ALL telephone calls to determine which visits can be done remotely and which visits require in office evaluation and management
  • Telehealth will be used accordingly when possible
  • Specific rooms are being dedicated for sick visits and well visits

Scheduling

  • Well visits are scheduled throughout the day, however no well visits will be scheduled on Monday mornings.
  • Same day appointments will always be scheduled, however no walk-in visits are allowed
  • Text reminders will be sent out 24 hours prior to the visit as a friendly reminder
  • There is NO cancellation fee associated with missed or cancelled appointments

Exam Room Cleaning

  • All rooms will be disinfected before and after EVERY visit by approved germicidal cleaning solutions.

Appointments

  • Routine Physical Check-Ups and Sick Appointments – All office visits are scheduled on an appointment basis only.

General Information and FAQ's About Appointments

  • Well visits, especially from infancy through the pre-school years are important! They allow frequent assessment of your child’s growth and development, and regular immunization. More importantly, however, they provide a time to discuss your questions and concerns and help prepare you for future developmental stages and routine illnesses.
  • Scheduling physical exam appointments in advance will allow you to choose an appointment time which is most convenient for you.
  • We make every effort to honor all time commitments and we request that you extend the same courtesy. If you are more than 30 minutes late for a scheduled physical exam appointment, we may reschedule the appointment for a later date.
  • As a rule, we will only schedule two physical exam appointments per family per day. However, if you have triplets less than 18 months old,we will see them together.
  • As a courtesy, our offices will confirm all physical exam appointments 48 hours in advance. If you must cancel your appointment, you must call at least 24 hours in advance, or you will be assessed a missed appointment fee.
  • Regular well-child exams are routinely scheduled at two weeks, four weeks, then at 2, 4, 6, 9, 12, 15, 18, 24, and 36 months. Thereafter exams are scheduled yearly. Well-child exams at 21 and 30 months are optional and may not be covered by your insurance company. Please note, the 2-month, 6-month, 12 month, 4 year and 11 year visits must be on or after the child’s birthday due to immunization schedules.

Waiting Rooms

  • The waiting room has been shut down altogether. Patients are instructed to come straight in (picking up a mask for adult & child) and walk directly to a pre-assigned exam room number
  • All toys, books, etc. have been removed from the waiting room.
Well visits are an essential part of ensuring a child’s overall health and well-being. They allow proper assessment of a child’s growth and development, as well as provide a current immunization status. Furthermore, they provide a time to discuss important questions and concerns you may have, and help prepare you for the developmental stages to follow as well as prepare you for routine and common illnesses.
Scheduling physical exam appointments in advance will allow you to choose an appointment time which is most convenient for you. As an office policy, we do not schedule two physical exam appointments for the same family in the same day. We recognize this is a mild inconvenience, but please understand it allows us to fully focus on each child and their respective health issues. As a courtesy, our office will confirm all exam appointments 24 hours in advance.
Regular well child exams are routinely scheduled at 2 days, then at 1, 2,3,4,6,9,12,15,18,21,24,30 and 36 months. Thereafter, exams are scheduled yearly. Well child exams at 21 and 30 months may not be covered by your insurance company, however we perform them routinely as they provide an essential and continuous assessment of the child’s overall development and well-being.
